Monitoring User Activity

You can use the User Activity Report to easily track a user’s activity in the vault. This report (CSV) is a chronological log of user activity, including login attempts, password resets, and more.

You can generate a User Activity Report for a single user or for a set of users in your vault.

Prerequisites

Users with the CDMS User Administrator study role can perform the tasks described below in System Tools by default. If your vault uses custom Study Roles, your role must grant the following permissions:

If your Study contains restricted data, you must have the Restricted Data Access permission to view it.

Tracked Events

The following are tracked in the User Activity Report:

  • User Created: A new account was created for this User.
  • Password Reset: The user’s password was reset by a user administrator.
  • Password Change Required: The user’s password expired.
  • Password Changed: The user changed their password.
  • User Unlocked: The user successfully reset their password after being locked out.
  • Password Change Unsuccessful: The user attempted to change their password but was unsuccessful.
  • Login Successful: The user logged in to Vault successfully.
  • Logout Successful: The user logged out of Vault successfully.
  • User Inactivated: The user attempted to log in with an inactive account.
  • Invalid Password: The user entered an invalid password when attempting to log in.

Generate a Report for a Single User

To generate the User Activity Report for a single user:

  1. Navigate to Tools > System Tools > Users.
  2. Locate the User you want to report on in the list.
  3. Hover over the User to show the Actions menu.
  4. From the Actions menu, select User Activity Report.
  5. Select a Start Date and End Date.
  6. Optional: Select Select Studies to select which Studies to include in the report. Otherwise, leave All Studies selected.
  7. If you chose Select Studies in the previous step, use the shuttle buttons to move Studies from Available Studies into Selected Studies.
  8. Click Run. Vault begins generating the report. When finished, Vault sends an email with a link to download the report as a CSV file.
  9. Click Close.

Generate a Report for All Vault Users

To generate the User Activity Report for all uses in the vault:

  1. Navigate to Tools > System Tools > Users.
  2. From the Actions menu, select User Activity Report.
  3. Select a Start Date and End Date.
  4. Optional: Select Select Studies to select which Studies to include in the report. Otherwise, leave All Studies selected.
  5. If you chose Select Studies in the previous step, use the shuttle buttons to move Studies from Available Studies into Selected Studies.
  6. Click Run. Vault begins generating the report. When finished, Vault sends an email with a link to download the report as a CSV file.
  7. Click Close.

Reading the User Activity Report

The User Activity Report includes the following columns, with a row for each tracked event:

Column Description
Datetime The date and time the action occurred in your timezone
Name The first and last name of the user
Username The user name of the user
Company The Company, if populated_ for the user
Action The action performed. See the list above.
Source IP The IP address of the user who performed the action. This is only provided for login-related actions.
Browser The browser used by the user. This is only provided for login-related actions.
Platform The platform used by the user. This is only provided for login-related actions.
User Created By The User Name of the user who created this user's account.
